Global Field Operations
Position: Administrative Specialist – Global Field Operations
Location: United States of America ( The ), Washington

PURPOSE OF POSITION:
The position provides a variety of administrative functions to ensure smooth and effeicient functioning of the office of Globale Field Operations. The position requires daily administrative and logistical support to the Global Field Operations office and Directors.
KEY RESPONSIBILITIES:
o 25% Manages the calendars for the GFO office senior leaders. Maintain master schedule for the department. Make travel arrangements, including booking airfare, hotel and transportation accommodations consistent with company policies and guidelines.
o 25% Maintains schedules and set up regular biweekly and monthly conference calls and meetings for Global Field Operations and by request. Coordinate materials and prepare logistic for face to face meetings, and biweekly conference calls.
o 15% Budget the Office of GFO yearly expense, manage and monitor expenditures and reconcile any budget variations with the accounting department.
o Prepare and process expense reports for Global Operations Directors, reconcile Corporate Credit Cards statements, receive and review GL reports from PO Accounting, track spending
o 5% Information Management: Manages GOLT database, research, collects, aggregates and analyses data, and generates reports. Maintains both electronic and physical file copies in an orderly and retrievable fashion.
o 15% Assist in preparing communication. Language editing of documents. Assist in preparation of presentations. Take minutes of assigned meetings.
o 15%Assist in other administrative duties that may be assigned and requested. Organizes or assists in organizing department or group events that support the business of the department such as Board meeting and SET meetings.
KNOWLEDGE, SKILLS & ABILITIES:
o REQUIRED: 5 + years experience in administrative work
o Excellent interpersonal skills including effective listening skills
o Strong skills in the use of MS Office products
o Ability to set priorities and work on multiple tasks simultaneously
o Strong communication skills
o Ability to work as a team player
PREFERRED:
o Excellent organizational skills
