Purpose of the Position To provide assistance in administrative and research related work to the Executive Director, Chief of Staff and the Executive Manager in the Office of the Executive Director

Key Expected Results
Facilitate preparation of the Executive Director’s official travel binder: research relevant articles and individuals, proofread and manage incoming briefing materials, and create the official travel agenda.
Provide administrative support and facilitate preparation of the Executive Director’s official visits. Liaise with offices of the UNICEF Country Representatives, UN Missions, exterior organizations and the American Express travel section to coordinate logistics for the Executive Director’s official travel.
Assist the Executive Manager in all relevant tasks, particularly with preparations for the Executive Director’s daily meetings and events.
Provide early morning administrative assistance to the Executive Director and the Chief of Staff. Provide coverage in the absence of the Executive Assistants to the Chief of Staff and the Executive Director.
Follow-up on pending issues with respective colleagues and/or departments as required; answer queries, receive visitors, and place/screen phone call for the Executive Office with discretion.
Undertake travel arrangements for the Executive Director and Executive Manager, arrangements for visa, hotel accommodations, etc., and process travel requests and claims.
Maintain the database of the Executive Director’s contacts, official travel media coverage, speeches and UNICEF HQ Directors’ travel/leave schedules.
Archive briefing and other related materials for the Executive Director’s using database system.

Qualifications of Successful Candidate
Completion of Secondary Education, excellent editing and grammar skills; thorough knowledge of modern office procedures; knowledge of protocol. A relevant first level university degree is considered an asset.
Must Pass The UN ASAT (Administrative Support Assessment Test) In English (please mention in your cover letter whether you passed this exam)
Five years of relevant progressively responsible administrative/clerical work experience.
Experience in UNICEF is required. Knowledge of another UN language is considered an asset.
Fluency in English and another UN language is required.
