OBJECTIVES OF THE PROGRAMME :
Ensures the operations of the PAHO Governing Bodies and promotes and supports the institutional development of the Organization’s Governing bodies: the Pan American Sanitary Conference, the Directing Council, Executive Committee, and their Committees and Subcommittees. The Pan American Sanitary Bureau, headed by the Director, acts as the Executive Secretariat and carries out the directives of the Governing Bodies
Description of duties:
Under the general guidance of the Advisor, Governing Bodies (GBO), and the direct supervision of the Information Management Specialist (GBO), the incumbent is responsible for, but not necessarily limited to, the following assigned duties:
a) Proofread and edit written documents for the meetings of the Governing Bodies and other major conference of the Organization; including reviewing documents to detect errors in spelling, punctuation, and syntax; rewrite or modifies copy to conform to the Organization’s style;
b) Prepare the formal camera-ready copy of the working documents of major meetings and conferences in English, Spanish, French, and Portuguese; review text, tables, graphs, quotations, footnotes, and bibliographies, using standard office computer systems and desktop publishing software, as well as format and make corrections in accordance with established procedures for the Organization’s Governing Body documents style;
c) Review and copy-edit resolutions documents, in accordance with established standards, in English, Spanish, French, and Portuguese; perform layout work and production of resolutions, agendas and final reports; coordinate production schedules, and ensure printing deadlines are met.
d) Copy-edit working official technical documents, ensuring clarity of content, consistency of terminology; agreement with established standards and procedures, as established in the Organization’s Style Manual; reviewing for grammar, syntax, and format; and determining the accuracy and completeness of facts, quotations, and references;
e) Compare uniformity of technical documents in different languages, including translations of modifications as well as proofreading of documents and resolutions;
f) Maintain and update the official mailing lists of nongovernmental organizations; update the multiple address register file on the Intranet; process official circular letters to government officials and other dignitaries in accordance with established procedures;
g) Perform other related duties, as assigned.
Essential: High school diploma with formal training in the administrative or commercial field.
Desirable: Advanced training in languages, editing and/or publication field would be an asset.

-Word processing in English and Spanish in accordance with established standards.
-Ability to write/originate routine and non-routine correspondence and reports in English and Spanish.
-Ability to prepare working translations.
-Ability to apply post editing techniques and practices for the preparation and production of formal documents.
-Ability to research, analyze and organize information in order to prepare reports and documentation.
-Ability to plan, organize, coordinate, and carry out administrative processes related to the production of formal publications, including determination of priorities, reallocation of work assignments, etc.
Demonstrated ability to effectively use a computer and utilize software programs such as Microsoft Office Word, Excel, PowerPoint and Outlook. Knowledge of Web publishing tools, Hypertext Markup Language (HTML), web site structure, web file formatting and conversion and web image editing and manipulation. Proficiency in the use of Content Management System and Web Application Framework Joomla! Other IT skills and knowledge of other software programs such as Visio, Microsoft SharePoint and Project would be an asset.
Five years of experience in editorial assistant tasks or administrative work
Very good knowledge of English and Spanish. Knowledge of French and/or Portuguese would be an asset
