For more information, visit www.ifc.org. CN2S7, part of CAF/CLA Infrastructure and Natural Resources Department, leads IFC investment program in Power, Water and Transport sectors in Latin America. Our team is responsible for identifying, developing and executing investment transactions that will deliver IFC’s strategic objectives, in particular development impact through long term client partnerships. Our industries are dynamic and require deep industry knowledge, therefore we have to update our understanding of global market trends through a dynamic coordination with our global colleagues. CN2S7 is now seeking an experienced Assistant. The Assistant will provide assistant to four Investment Officers within the Unit, and will carry the overall responsibility for providing high quality, timeliness and completeness of administrative and client support functions for all of them. The Assistant is the first point of contact for the IOs and LAC Field Offices and lease with an extensive network of contacts at senior management within the organization. Coordinates various business/project related activities with HQ front office and other departmental service units including liaison work with CLA regional offices assisting in the preparation and logistical arrangements for conferences, seminars, workshops and similar functions within the region, as required. She/He must have an advanced knowledge of IFC advanced applications, policies and procedures and IFC vision, strategy and Priorities.
Duties and Accountabilities
Solve non-routine problems and to operate independently interpreting the policies and procedures
Supporting/coordination in the preparation and logistical planning for various events, e.g. visitors, meetings, conferences, workshops, etc.
Tracking of assigned task/project steps/conferences timetables.
Handling multiple tasks distributing time effectively among them.
Handle logistic planning for negotiations, Board presentations and signings or equivalent events.
Ensure adequate office and projects project files.
Arrange for VC and assist in IT troubleshooting of office hardware.
Provide administrative support to Visiting Missions; coordinate with relevant staff and provides assistance and/or information on project-related matters.
Adapting to changing business needs by continuous learning/train.
Use of word processing or desktop publishing skills to produce texts, reports, figures, graphs, etc., according to standard Bank formats and distribution
Advance business writing, drafting of routine correspondence and other materials using proper grammar, punctuation, and style.
Incorporate agreed comments into documents, making full use of shared drives and software capabilities.
Maintain the Investment officers chron. files and provide administrative assistance (Times Recording, travel logistics, etc) , when required.
Coordinator for the Leave & Attendance Record (LARS) and Times Recording (TRS) systems.
Selection Criteria
Solid previous work experience in similar position.
Advanced knowledge of IFC’s procedures and processes; or strong previous relevant experience.
Excellent organizational, administrative, and time management skills with proven ability to work promptly and efficiently under pressure and meet tight deadlines.
Excellent judgment in handling confidential and sensitive information.
Ability to think independently, analyze problems and identify appropriate solutions.
Ability to effectively address multiple tasks.
Excellent skills and use of relevant computer software applications (Word, Excel, PowerPoint, Lotus Notes ).
Excellent team player with outstanding interpersonal skills and the ability to work with people at all levels (inside and outside IFC) with demonstrated maturity, team spirit and responsiveness.
Excellent written and verbal communication skills
