% of Time Principal Duties and Responsibilities
45% Accounting
• Process invoices, contract payments, and travel expense claims for approval, ensuring timely submissions;
• Responsible for coding Center P-card transactions to appropriate GL and cost units, reconcile expenditure reports with bank statements, and review facilities, space, surcharges for staff and guests, properly maintain back-up records;
• Responsible for petty cash box, submits receipts to Business Services to replenish reserves;
• Prepare journal entries against general ledgers to ensure the accuracy of charges.
30% Contracts
• Draft research consulting contracts and nonresident appointment letters for Assistant Director’s approval, coordinating the routing process through SharePoint;
• Tracks and maintains contract tracker spreadsheet.
25% Administration
• Orders and maintains office supplies as well as reports problems with office equipment;
• Troubleshoots timesheet issues;
• Maintains labor hour tracker spreadsheet for the Center staff as well as electronic folders of financial records;
• Maintains Wolfensohn Center travel calendar;
• Prepares employment applicant logs and submits to Human Resources;
• Assists with the coordination of visitors, guests, and other affiliates;
• Schedules meetings for and assists Center Director;
• Assists staff with mailing documents/packages.
Additional Qualifications:
Special Education/Experience Requirements:
BA/BS (a degree in business administration, finance, or management preferred) with minimum of two years of experience in business administration, public policy administration, or related fields. A background in a research, academic or nonprofit setting is strongly preferred. Basic knowledge of accounting preferred.
Special Knowledge/Skills Requirements:
Attention to detail a must; knowledge of Microsoft Office Suite and proficiency in Excel required; knowledge of PeopleSoft a plus; initiative, high degree of judgment, tact and discretion in dealing with relationships at all levels, and in handling confidential and sensitive matters. Proven ability to work independently and efficiently under pressure and to handle multiple tasks simultaneously. Works well in a team environment, creative thinker, and quick learner.
